1. Shipping Address and Number of Bottles Per Entry

Please send your wine samples (Minimum 2 and Maximum 3 bottles per entry) to the warehouse address mentioned on the submission label before 7 March 2025. Follow these steps to pull your submission labels: Log in to your account > My Submission Labels > Click on Print Icon & save.

The warehouse address will be made visible on the submission labels in your account once the warehouse opens.

Goods receiving time: Monday – Friday 9.00 am – 5.00 pm.

Wines that arrive after the deadline date will not be accepted and refunds will not be issued.

Make sure to share the tracking details including the Tracking number & courier company name to benjamin@londonwinecompetition.com or aakash@londonwinecompetition.com once you ship your samples to the warehouse address, to ensure the shipment delivery.

2. Labeling and Documents - Important Shipping Instructions

Please follow these detailed instructions to ensure that your wine samples are submitted correctly for the London Wine Competition (LWC), whether you are shipping directly to London or using the consolidated shipment option:

For Direct Shipping to London:

  • Submission Label:

    • Ensure the competition submission label (which includes your reference number) is clearly affixed to the outside of your box and one copy is placed inside the box.
    • The LWC team will not accept your samples without this submission label.
    • You can access the submission label by logging into your LWC account (Login > Submission Label > Print).
  • Pro-Forma Invoice:

    • A pro-forma invoice must accompany your wine sample box. The minimum value on the invoice should be £1 per entry
    • Place one copy on top of the box and one inside the box.
    • The invoice should clearly state that the contents are “Not for Sale – For Competition Purposes Only”. Template can be download here: Click here for Invoice Template
  • Delivery Duty Paid (DDP):

    • All duties, taxes, and shipping costs must be prepaid. This ensures that your shipment is Delivered Duty Paid (DDP).
    • When arranging shipment, instruct your courier or forwarder to mark ‘shipper accepts all charges’ on the shipping documentation.
    • The submitter is responsible for any fees related to import declarations, and any non-compliance with UK import requirements will result in penalties borne by the submitter.
  • Packaging:

    • Ensure your box is clearly marked “Fragile” and is well packed to avoid damage during transit.
  • Tracking:

    • London Wine Competition is not responsible for tracking the shipment of your wines. Please ensure all paperwork and packaging are correct before sending your samples.
    • Once shipped, please share the tracking details without fail.

3. For Consolidated Shipment (Only Applicable to Certain Countries):

  • Countries Eligible for Consolidated Shipment:
    France, Italy, Spain, Australia, United States, Chile, South Africa, Germany.

  • Shipping Instructions:

    • If you are shipping from one of the above countries, please send your samples to the local office listed in the competition submission label (Login > Submission Label > Print). The label should be affixed to the outside of the box and one copy placed inside.
    • The commercial invoice accompanying your box should mark the contents as “Not for Sale – For Competition Purposes Only”.
    • Ensure your box is well-packed, marked as fragile, and shipped with Delivery Duty Paid (DDP)
    • Deadline to receive samples at local office on the label is 31st January, 2025

4. Do I Need To Insure My Wine?

LWC and its logistics partner will not take responsibility for wine damaged or lost whilst in transit. In the event that for reasons beyond the reasonable control of LWC, it is necessary or advisable for the LWC to be canceled, LWC cannot accept any liability whatsoever for any direct or indirect loss of profit, damage, or expense of any kind incurred as the result of such cancellation.

5. What if I miss the Shipping Deadlines?

Your registration will not be considered for judging and no scores will reflect in your account. No Refund will be initiated in any circumstance of missing the shipping deadline. Delays caused by couriers and customs will not be accounted for, so please ship in advance.
